We want your experience at Embrace the Change Retreat to be smooth, transparent, and stress-free. These terms outline important details regarding booking, payments, cancellations, and participation. Please read them carefully before securing your place.

 

1. Booking & Payment

1.1 Payment Options

We offer three flexible payment options:
 Early Bird Discount – Pay a reduced rate by [Early Bird Deadline].
 Full Payment – A standard one-time payment.
 Split Payment – Pay in two equal installments.

1.2 Payment Process
A €200 non-refundable commitment fee is required to secure your booking.
Payments must be made via Stripe or another approved payment method.
Early Bird & Full Payment: The remaining balance must be paid within 14 days of booking (or by [Final Payment Deadline], whichever is earlier).
Split Payment:
o The first instalment (50%) is due at booking.
o The second instalment must be paid by [Final Payment Deadline].
All payments, regardless of payment type, must be received by [Final Payment Deadline].
 
2. Cancellation & Refund Policy
2.1 If You Need to Cancel
Cancellations before [date] → You’ll receive a refund minus the €200 non-refundable commitment fee.
Cancellations after [date] → No refunds are available, but you may transfer your spot to someone else with our approval.
2.2 If We Need to Cancel

While we don’t expect this to happen, we reserve the right to cancel the retreat in cases such as:
Not meeting the minimum number of participants by [insert date].
Unforeseen events like extreme weather, venue closure, illness of key facilitators, or travel restrictions.

If the retreat is cancelled by us, you will have the option to:
 Receive a full refund of the amount you have paid directly to us for the retreat.
Transfer your booking to a future retreat within [X months] at no additional cost.

Please note: This refund does not cover third-party costs such as:

Flights or transportation
Visas or travel documents
Accommodation booked outside of the retreat package
Travel insurance or any other personal expenses

We strongly recommend purchasing travel insurance to cover unexpected cancellations, as we are not responsible for any external costs beyond your retreat payment.

 
3. Retreat Experience
3.1 Arrival & Check-In
Check-in starts at 4:00 PM on Sunday, with the first session at 6:00 PM, followed by dinner at 7:00 PM.
3.2 Pre-Retreat Preparation
You’ll receive pre-retreat materials and a one-on-one coaching session to help you prepare.
3.3 During the Retreat
The retreat includes coaching sessions, group sessions, meditation, Viniyoga, breathwork, mindfulness, and self-compassion exercises as part of the daily schedule.
All sessions are optional—you are encouraged to participate, but personal reflection time is also available.
3.4 Post-Retreat Support
After the retreat, you’ll receive a follow-up coaching session to help you integrate your learnings.
 
4. Accommodation & Meals
4.1 Accommodation
Your booking includes shared accommodations. If you’d like a private room, please contact us to check availability.
4.2 Meals & Dietary Needs

 Included Meals:

Welcome dinner on Sunday
Daily breakfast, lunch, and dinner (Monday – Thursday)
Breakfast & lunch on Friday

 Drinks: Complimentary water and local herbal tea will be available throughout the day.
 Dietary preferences: Let us know at least [X weeks] in advance, and we will do our best to accommodate your needs.

 
5. Respectful & Supportive Environment

To create a safe and welcoming space for all, we ask that participants:
Respect the privacy and boundaries of others.
Follow the retreat schedule and guidelines to ensure a smooth experience for everyone.
Inform us of any medical or accessibility needs before arrival so we can best support you.

We reserve the right to ask participants to leave if their behaviour disrupts the experience of others.

 
6. Liability & Personal Responsibility

We are not responsible for lost or damaged belongings.
Participation in activities is voluntary, and you should consult a doctor if you have any health concerns before attending.
Travel arrangements, including insurance, flights, and visas, are your responsibility.
